Stock that counts itself

Know what you have, where it is and when to order more, from the van to the warehouse. Built around your products, your suppliers and the way stock actually moves.

Who it is for

You will knowif this is you.

01You have run out of something on a job because the shelf said otherwise.
02Stock lives in more than one place: a store, a van, a site, and nobody knows the total.
03Reordering happens when somebody notices, not when a level is reached.
04The stocktake takes a weekend and the number is wrong by Monday.
What it does

Everything the systemtakes off your desk.

Each capability is built to your process and shipped with its own controls. Nothing generic is bolted on.

01

Products and stock levels

Every item, variant and unit, with a live quantity per location.

  • Catalogue with variants and units
  • Live levels per location
  • Cost and sell price history
  • Photos, codes and supplier references
02

Scanning and movements

Barcode or QR from a phone. Every movement recorded with who, when and why.

  • Receive, transfer, use, return
  • Barcode and QR scanning
  • Batch, lot and serial tracking
  • Movement history per item
03

Reordering

Minimum levels and lead times that raise the order before the shelf is empty.

  • Reorder points per item and location
  • Suggested purchase orders
  • Supplier lead times
  • Low-stock alerts
04

Locations

Warehouse, store, van or site. Bins and shelves if you need them, one total if you do not.

  • Multi-location totals
  • Bins and zones
  • Transfers between locations
  • Van stock per engineer
05

Purchasing and receiving

Orders to suppliers and goods in, matched and recorded.

  • Purchase orders
  • Goods-in against an order
  • Supplier records and pricing
  • Returns and credits
06

Counts, valuation and reports

Rolling counts instead of a weekend stocktake, and a valuation you can hand to the accountant.

  • Cycle counts by area
  • Stock valuation
  • Usage and turnover reports
  • Dead stock and shrinkage
The lifecycle

Where every unitgoes.

An inventory system is a ledger of movements. Get the movements right and the levels are always right.

01InGoods arrive against a purchase order. Scan, count, book in. Discrepancies flagged at the door, not at month end.
02StoredA location, and a bin or shelf if the scale needs it. Transfers between locations are movements too, so a van's stock is as real as the warehouse's.
03Used or soldBooked to a job, a sale or a customer. This is what makes job costing honest and what triggers the reorder.
04CountedA rolling count of a few shelves a day keeps the whole system true without ever closing for a stocktake.
05ReorderedWhen a level crosses its minimum, a suggested order appears with the supplier, quantity and lead time already filled in.

Timelines are the ones in the catalogue. The quote fixes the scope, the price and the delivery date before work starts.

Built on the platform

Inventory isalready a Lounge module.

The platform ships an Inventory add-on for stock, counts and movements that any customer can switch on. A custom system starts from it when the fit is close and is built from scratch when it is not: the scanning, the locations and the reorder logic are yours either way.

  • Quooro Office

Invoices, expenses and accounting, so stock used on a job lands on the invoice.

  • Online shops

Sell from the same stock: levels shared between the shop and the shelf.

  • Dashboard plans

The Inventory add-on and what it costs.

What you own

Yours outright, on the day it launches.

  • The complete system as source code, with the database and every report
  • A mobile-friendly scanning app for phones and handhelds
  • Staff training and a written operating procedure for counts and receiving
  • A support period written into the quote
  • Your stock data exported in full, at any time

The same terms as every build: read ownership and handover.

How it is built

Four stages, no surprises.

Whole buildSet in your proposal

01

Discover

Starts when you say go

We map how the work gets done today.

What happens

  • Workshops with the people who will use it
  • Your current process mapped, step by step
  • Your data and the systems it lives in audited
  • A written specification of what to build first

What you get

  • The specification
  • A staged plan and a fixed quote

What we need from you

  • Time with the team who do the work
  • Access to the tools you use now
02

Design

After you approve the specification

A clickable prototype before a line of code is written.

What happens

  • Screens and user journeys for each role
  • A clickable prototype the team can try
  • The data model and the integrations agreed
  • Permissions: who can see and change what

What you get

  • The prototype
  • The agreed data model

What we need from you

  • Feedback from real users
  • Sign-off on the prototype
03

Build

After you approve the prototype

Built in stages, with a working demo at the end of each.

What happens

  • Features built in the agreed order
  • A working demo at the end of every stage
  • Your existing data moved across and checked
  • Tested against the real process, not a script

What you get

  • A working system at each stage
  • A test environment to try it in

What we need from you

  • Testing time from your team
  • Decisions when questions come up
04

Launch

After you approve the finished build

Rolled out, taught and supported.

What happens

  • Rolled out to the team, in stages if that suits
  • Training for each role
  • Documentation for how it works and how to run it
  • Support after go-live, with a retainer if you want one

What you get

  • The live system
  • Full ownership of the code and data

What we need from you

  • A go-live date that works for the business
Straight answers

Asked beforeyou ask.

01Do we need special scanners? No. A phone camera reads barcodes and QR codes well enough for most businesses. Dedicated handhelds are supported when the volume justifies them.
02Can it handle stock on vans?Yes. A van is a location. Engineers scan what they use on a job and the van's level drops; a transfer from the store tops it up.
03Will it talk to our accounts package?Usually. Purchase orders, goods received and stock valuation can post to the common accounting systems, or to Quooro Office's accounting if you use the platform.
04What about our existing stock list?We import it. Spreadsheets, an old system's export or a supplier's catalogue all come in through a mapped import with a preview before anything is written.

Know the countbefore the job.

Tell us what you stock, where it sits and what runs out. The quote covers the system that keeps the number true.
